TITLE: Media Relations Associate
DEPARTMENT: Media Relations
LOCATION: New York
Supports Senior Director of Communications in all areas of Media Relations, and also works independently managing several press and celebrity related responsibilities of the Media Relations Department.
DUTIES and RESPONSIBILITIES:
Supports Senior Director on the solicitation of celebrities for special events, media events, and/or public relations opportunities. Drafts celebrity solicitation letters and supports Director with distribution and follow up of communications. Maintains a detailed, organized record of communication with celeb contacts.
Handles the development of clipbooks and media logs, providing content to Development for sponsor solicitation materials as needed.
Works with Senior Director to draft pre and post event press releases and develops overall pitch list. Develops first drafts of post event press releases and manages distribution of all pre and post event press releases, developing and updating outreach lists and tracking press requests.
Maintains and updates celebrity database. Reviews entries for accuracy and maintains confidentiality of celebrity/personal information. Supports Senior Director with drafting and distribution of celebrity acknowledgment letters from amfAR’s Chairman. Orders and coordinates delivery of celebrity thank you gifts when appropriate.
Handles press credentialing process and all on-site press line logistics and works with Director on coordination of talent interview requests. Works with Director to hire house photographer and video crews to ensure that the appropriate event footage is shot, delivered to amfAR, and serviced to the media.
Responsible for securing calendar listing placements for all events.
Handles all celebrity travel logistics for amfAR events. Liaises directly with talent reps to make sure travel needs are met. Liaises with Special Events and Travel staff to ensure that celebrity travel expenses are within budget. Serves as on the ground contact for celebrities at off-site fundraising events, arranging sound checks, rehearsals, and run of show meetings as needed. Works with Senior Director to provide all relevant information to celebs, including script, run of show, and red carpet talking points. Works with team of PR consultants and volunteers to walk celebrities down press line.
Handles all administrative duties in MR, including expense reports and check requests.
A Bachelor’s degree in a related field and one year general office experience and two years of Public Relations preferable . Excellent organizational and planning skills, written and oral communication skills, and proficiency in Microsoft Office, Excel and WordPerfect. Knowledge of French or other European language desirable, and understanding of HIV/AIDS issues. Flexible and able to travel, sometimes for extended periods, and work extended days and occasional weekends.
